Managing customer assets

Add vehicles, plant, and trailers; configure service intervals and filter parts.

An asset in TorqueOS is anything you service — prime movers, trailers, dollies, excavators, light commercials, or workshop equipment. Assets always belong to a tenant (a client) and inherit the client's scope, so when you delete a client, their assets go with them.

Add a single asset

  1. From the Fleet dropdown, select Assets (or open a client and use Add asset from there).
  2. If you're on the global Assets page, choose which client owns the asset.
  3. Pick the asset type (Prime Mover, Trailer, Excavator, etc.) — this is what drives which prestart and service templates apply.
  4. Fill in registration, VIN, make/model/year, and the service-tracking type (kilometres or engine hours, depending on the asset).
  5. Click Save.

Bulk-import via CSV

For large fleets, import is much faster than entering one asset at a time.

  1. From the Fleet dropdown, select Assets and click Import.
  2. Download the CSV template — it has all required columns and example rows.
  3. Fill it in (registration is required; everything else is optional).
  4. Upload, review the parsed preview, and confirm.

Service intervals

Each asset can have one or more service schedules — for example, "Engine oil & filter every 10,000 km or 6 months, whichever comes first." Schedules drive the Maintenance Due notifications and the workshop dashboard.

  1. Open the asset detail page.
  2. Scroll to Maintenance schedules and click Add schedule.
  3. Set the interval in km, hours, or days (you can mix km/hours with days for an "OR" rule).
  4. Optionally attach a service checklist template so the next work order auto-populates the right tasks. See prestart & service templates.

Filters & serviceable parts

Each asset has a Filters tab where you record the brand and part numbers for engine air, fuel, oil, cabin air, hydraulic, transmission, coolant, and differential filters. Two reasons that matters:

  • Mechanics see exactly what to grab off the shelf.
  • The cross-reference index suggests interchangeable part numbers when you're sourcing alternatives.

Updating odometer or engine hours

Workshops, mechanics, fleet admins, and fleet users can all bump readings. Use the Update odometer / Update engine hours button on the asset card or detail page. Forward-only by default — if a meter has been replaced and the new one reads lower, use Replace odometer which keeps the historical max for service calculations.
